Participants
Standard Edition
In Standard Edition, Participants tab holds the listing of Act! contacts who you wish to keep informed about the status of the project. You will be able to click Share link under the name of each participant, and generate a link which will allow the user to view the changes to the project as they happen. You will be able to send an email with the URL, or copy it directly. Your participants will not be able to edit the project.
Team Edition
In Team edition, Participants tab holds the listing of project participants who will take part in work of the project or who you simply wish to keep informed about the status of the project. You will be able to click Share link under the name of each participant, and generate a link for that user.
There are two types of participants:
- 1 Act! Contacts
- 2 Act! Users
1. Sharing a Team Edition Project with External Act! Contacts
In creating the Share link, you will need to decide on the following settings:
- Allow Task Clearing
- Allow Comments
- Allow Task Rescheduling
- Allow Editing Task Status & Progress
If all permissions are checked off, the participant will be able to comment on any task in the project, & clear, reschedule, or edit status and progress of tasks assigned to themselves.
If your project settings determine that records should be made in not just in Link2Projects abut also in Act!, Act! Contacts updates will go into Act! Queue tab for the project planner to approve them and to commit them to Act! under his name.
2. Sharing a Team Edition Project with Internal Act! Users
Once you create a share link for another Act! user, unless they are already set up on Linktivity, they will be required to enter their Username and Password before they can access the project. Share link for Act! user in itself implies all permissions: task clearing, commenting, task rescheduling, and editing task status and progress. Your internal team member will be able to comment on any task in the project, & clear, reschedule, or edit status and progress of tasks assigned to themselves.
If your project settings determine that records should be made in not just in Link2Projects abut also in Act!, Act! Users records will be updated directly.
If you no longer wish for the participant to be able to work with the project, you can disable the share link in the participants tab.
If you of the team members left your organization, you can also use My Workspace Assignees section of the Main Menu to remove them from all projects.
